OTHER CONDITIONS




1. We are offering different classes: (a) Silver class (a budget class); (b) Golden class (also a budget class, with the only difference being that two persons share one room at Makkah hotel & Madinah hotel only, not in Aziziyah building, Mina, Arafat, & Muzdalifah); (c) V.I.P. class (normal class; we provide an executive hotel room in Makkah only, not in Madinah, Aziziyah building, Mina, Arafat, & Muzdalifah); (d) Green (an NCNTZ, if any haj seats are allotted by the government for the green category). The actual number of days provided by our service for the haj session of each package is as follows: The Haj 40 package means 30-35 days only, the Haj 20 package means 18-21 days only, the Haj 12 package means 12-18 days only, and the Haj 40 green package means 30-35 days only.

2. Our booking process is entirely based on 100% online booking only. (No manual booking is done, and no manual receipt is given.) Through online booking, each haji should log in with their particular user id and password on our website and download the manual application, which should be returned to the registration office after filling it in with all the details and the signature of the applicant and nominee. The user id and password (which have validity for a lifetime) are personal and will be provided only once via sms and email immediately after you register successfully with valid details; they will not be shared or announced by any of the Sha Haj officials under any circumstances for the second time. Please make note that your individual user ID and password are kept safe. They will be shared only with the respective haji or with the nominee of the haji who registered and will not be shared with any of the relatives of that particular haj.

3. Our service is not responsible for any technical issues that occur during registration and the generation of user id & password. We hope it will be generated on the spot, but in certain cases, if it is not generated, please inform us so that we can address the issue on the back end.

4. The original passport should be valid for at least 6 months from the date of departure. Passports should have 2-4 blank pages.

5. passports are advised that the Surname/Last Name field must not be left blank.

6. The original passport, photos, original application form, and individual pan card and aadhar card xerox copies with the signatures of the respective Haji must be submitted to our registration office only within 10 working days after registration. If the Haji is available in India, they should send all the required original documents to our registration office directly. If not, send them directly to our registration office. The company will not be responsible for your documents until we confirm receiving them.

7. If the Haji is out of India, then the original passport should be submitted to our registration office 20 to 25 days before departure (in the main group). Application photos of the Haji must be submitted within 10 working days after registration.

8. If you access the incharge of the SHA HAJ SERVICE in a particular area, your name will be registered only after the registration office receives the cheque from your respective incharge. To know whether the incharge belongs to our company or not, check it out through our website www.shahajservice.com or directly contact only our registration office (Contact: 94451 50009).

9. The issuance of a Haj visa will be the sole prerogative of the Royal Saudi Embassy. If any Haji has a history of improper exit from KSA, then the concerned issue or problem at the time of the Haj visa process or KSA immigration shall be faced wholly by the respective Haji. The company shall not be held responsible for the refusal of a Haj visa or any other issuance.

10. According to the new e-visa service, if any passport needs to be submitted directly to the embassy and if there is any delay due to the visa process from the embassy, then our management won't be responsible for the concerned Haji's delay in travel date. The respective Haji will travel on the next available flight date. During this time, the concerned Haji will take care of their own expenses for accommodation, food, and transport.

11. Individual women should not be permitted, and individual men below 25 years of age and above 50 years of age should not be permitted by our management.

12. Pilgrims above or below 50 years of age with any difficulties shall be accompanied by a healthy, responsible person for the whole Haj season. All pilgrims should be able to walk compulsorily at least 3-5 kilometres per day. The permitted age limit set by our management is a maximum of 65 years of age only.

13. People who can't walk on their own, blind persons, and severely ill persons are not allowed. In certain cases of haji’s who are unable to walk, individual haji should bring a wheelchair on their own, accompanied by a healthy person; if not, wheelchairs will not be provided. In Makkah (Haram Shareef only), wheelchairs might be available at your own cost, but in places like Mina, Arafat, Muzdalifah, Madinah, and Aziziyah, there is no availability of wheelchairs even for a cost.

14. Any pilgrim having chronic diseases such as hypertension, high/low blood pressure, diabetes, cardiac issues, kidney problems, asthma/wheezing troubles, walking difficulties, etc., shall inform the company in writing along with medical fitness certificates for their verification and acceptance.

15. Medical and health requirements shall be followed as per HCOI guidelines.

16. During departure or arrival at the airport, in case the Haji is not permitted to travel by the Indian government or Saudi government for any reason, our management will not be responsible. Therefore, we request that the respective Haji take care of their health before and during travel. (If any cancellation occurs at the time of departure, please refer to the payment/cancellation policy.)

17. It is mandatory to check all the provisions offered by our management before departure, and it is also mandatory that Haji carry only the luggage provided by the Sha Haj service throughout the journey; you should not carry any extra or other luggage at any cost.

18. Pilgrims shall adhere to the baggage/luggage policy of the airline. Keeping a small amount of luggage makes the journey smooth; therefore, reduce the luggage as much as possible, and don't struggle by giving the load to other Haji. Zamzam, five litres per Haji, shall be provided individually at Jeddah or Madinah airport. If there is any delay in luggage after arrival, it depends on the concerned airlines only, and it is not the responsibility of our management.

19. Porter's service will not be provided by the company. Haji have to carry their own baggage wherever necessary.

20. Baggage that should only be carried in specific places: from Makkah to Madinah, a backpack and shoulder bag are allowed, and the rest of the bags should be kept in Makkah itself. From Madinah to Makkah – a bag, shoulder bag, and purchased bags may be carried back, if applicable. From Aziziyah to Mina, only the shoulder bag and the backpack are allowed to be carried. From Mina to Arafat – only a shoulder bag.

21. Haji’s are permitted to stay only in the respective hotel and building booked by the management. (This is instructed following the rules and regulations of the Saudi government.) The rooms allotted by our management accommodate 4 to 7 persons each (no choice of rooms will be entertained for the Haji). For men and women, rooms will be provided separately, either on the same floor or on different floors. Men entering women's rooms is strictly prohibited. Haji’s should stay only in the hotel and building provided by our management. No Haji is allowed to stay in their friend's or relative's house/hotels in Saudi government.

22. In the same hotel, an applicant who needs separate rooms for two or three persons should pay an additional amount at the time of registration, but only for a stay in the Makkah and Madinah hotels (except the Aziziyah building, Mina, Arafat, and Muzdalifah).

23. Room service will not be provided. In Makkah and Madinah, daily room services (cleaning) will be available at four- and five-star hotels only. In other category hotels in Makkah and Madinah, room service will be applicable once every two or three days only. There will be a total of two days of room service during the entire duration of stay in the Aziziyah building. The provision of bathroom mats, towels, shampoo, soap, etc., is up to the hotels. Some of them provide these items, while others do not. Bathroom water flooding is a common problem in Makkah, Madinah hotels, and the Aziziyah building. The number of lifts available and the size of the dining hall will depend on the hotels only, so it may be very crowded at the event. Haji’s are expected to adjust and adapt to all the facilities of the hotels (lifts, rooms, dining halls, etc.) provided in Makkah, Madinah, and Aziziyah.

24. Visitors are not permitted to stay in your room for any reason; make sure it does not create any inconvenience for other haji’s due to your visitor. In case you provide food for your visitors, you must inform us in advance; only one or two instances are permitted during the entire haj period (following the rules and regulations of the Saudi government). Kindly coordinate with your roommates and keeps your luggage and belongings safe, as management will not be responsible for lost or damaged items.

25. Hand over the room keys to the receptionist after locking the room when going out and also during check-out.

26. During Haj, laundry pick-up/return (clothes collection/return after washing) will be assigned in a common area, with no door-to-door pickup. Our company is not responsible for any loss, delay, or fading of colours due to the laundry service. Limited laundry service is available as per the token system (one piece per token).

27. Each company will be allotted a certain number of tables and chairs; only those can be used by our haji’s (not for all haji’s). It is better to be available and dispersed in the dining hall for food at the fixed time; avoid taking food to your rooms. Delaying will lead to unavailability of food, as the time is fixed for the catering company following the rules and regulations of the Saudi government in Makkah Hotel, Madinah Hotel, and Aziziyah building. In certain cases, time will be extended if the caterers delay serving on time.

28. In Makkah and Madinah, if the haji is accommodated at a four- or five-star hotel, then food will be provided only from the respective five-star hotel, and they can provide any type of food as well. Our management's catering food is not allowed in four- or five-star hotels. In other hotels, the foods that our service caters to are mostly Tamil Nadu foods. The list of foods offered for tiffin includes idly, dosa, pongal, kichadi, semiya, macaroni, noodles, idiyappam, uppuma, and bread omelette (any one or two varieties among these); food for lunch includes white rice with both veg and non-veg curry along with rasam, moar, poriyal, and fruits. For dinner, there are chappathi and parotta, sometimes with idly, dosa, and idiyappam, along with veg/non-veg curry and also white rice and fruits (any one tiffin item along with white rice).

29. Foods in Mina and Arafat are provided only by the Moallim and not by our catering service, as per the Saudi government. The Moallim can provide any type of food from any country, and our organisation doesn't have any interference with the food, but the food will be served by our organisation only. It is limited food, not unlimited, and it is not a buffet system either. In Mina, only tea will be served two times per day. Neither the Moallim nor our catering service will provide food at Muzdalifah. Kindly endure any delays that may occur.

30. All the tents in Mina and Arafat will be of the same type, and each person will be allotted a space area of length 5 to 5.5 feet, breadth 1 to 1.5 feet, and their belongings must be adjusted in that allocated space only. All the haji’s will be in ihram. It is advised to stay in the tent allotted to us and not to move away from the tent, as it will be difficult to find and reach our tent. Kindly participate in the Jamaat prayer, which will be conducted in our tent. While staying in Mina and Arafat, haji’s are not taken anywhere outside unless it's Tawaf, Ziyarah, or Jamarat. Tents are allotted respectively; no changing or requests for a tent can be made, as it is all under the moallim's control. Beddings in Mina will be tight; no space will be available even for a walking path. Our management is not responsible for location crises that occur in Mina. (Muzdalifah will be an open area.)

31. Though we are a private service, after landing in Jeddah, the Moallim service starts, and we must adhere to it and are under their control. All of our passports will be collected by the Moallim and will be returned only at the airport. From Aziziyah to Mina, Mina to Arafat, and Arafat to Muzdalifah, all transportation (buses with seating) and scheduled timings will be under the control of the Moallim only. The distance from Mina to Arafat and from Arafat to Muzdalifah will be around 10 km to 25 km; it will take a minimum of 30 minutes to approximately 10 hours for travel by bus due to the heavy crowd. We assess private scheduled buses only for local Ziyarah in Makkah and Madinah, to Ayesha Masjid, to Tawaf a Ziyarah, and to Tawaf Vida. (Note: Moallim is the local government authority). Haji’s are expected to adjust and adapt to all the facilities.

32. During Haj, following the rules and regulations of the Saudi government, if any Haji would like to travel to Aziziyah or Makkah between the scheduled dates (Dhul-Haj 7 to 13), then they can travel to Aziziyah or Makkah at their own cost and responsibility. Food won't be served in two places, but it will be served in Mina only, not in Aziziyah, until our scheduled date. Transportation will also be taken care of by themselves only.

33. Doorstep bus stops are not provided, so we should walk to the places designated for us by the Moallim. However, travel from Muzdalifah to Mina will be compulsory by walking. From Mina to Aziziyah, a bus will be provided by the Moallim only on Dhul-Haj 13; no urgency in arrival should be made. Don't compare the dates of arrival of other service companies. Our movements—travelling to other places—will be only at night. Fixed timing: no delays should occur.

34. While staying in Makkah, Madinah, and Aziziyah, the expense to visit Haram Shariff or other places is entirely at your own cost. Our management will not be responsible for it. Please follow the rules and regulations of the Saudi government.

35. Our management is responsible for the expense of the first Umrah in Makkah, Ayesha Masjid Umrah, visiting famous places in Makkah (ziyarah) and Madinah (ziyarah), tawaf a ziyarah, and tawaf a vithaf only for the selected package. If any haji tries to do ziyarah or tawaf-a-ziyarah or tawaf-a-vithaf before or after our management's scheduled time for any reason, or due to any ladies' problem, then they can do all at their own cost, and our organisation members won't entertain it. Accompanying them is not our responsibility, but we are pleased to guide you. During all travelling hours, it is the responsibility of each haji to arrange food and other expenses at their own cost.

36. For qurbani, money shall be paid in the Makkah, Aziziyah, or Mina bank by the haji only. Our management will not be responsible for the payment, but we are pleased to provide information about how and where the payment can be made.

37. Our management will not be responsible for accidents that occur due to weather conditions, loss or damage of belongings, or for other reasons such as disease, death, etc. If symptoms of a disease occur, inform the person incharge immediately so that medicinal facilities can be arranged.

38. The identity card provided by the Saudi government and by our management should be kept safe. It is compulsory to follow the rules and regulations of the Saudi government; there is no permission to go to places other than Makkah and Madinah.

39. Respective haji’s should take care of all responsibilities and their own expenses to return home in the event of illness or for any other reason with the approval of the Saudi government. You cannot return to your hometown early without approval (following the rules and regulations of the Saudi government).

40. Information about your journey and pre-arrangements will be occasionally notified through your user id and password. You can view it by logging in through our website (www.shahajservice.com) or by downloading our Sha Haj Service app from the Android Google Play Store and viewing it after logging in with your id and password.

41. Our management will not be responsible for flight and bus delays at the time of departure or arrival for the entire journey. Haji’s must adjust to the delay of the bus and kindly cooperate with our group.

42. Our company is not responsible if the pilgrim misses his flight for any reason, and the passengers are responsible for obtaining new tickets or rescheduling their tickets.

43. The airline details, the hotels in holy Makkah near Haram Shariff, in the Aziziyah area, and in Madinah, the Moallim number, and the tent areas are uploaded here tentatively. Final updates will be made within 30 days after the allotment of the quota by the Government of India.

44. Pilgrims can bring forex money to Haj only with the bill receipt; if not, we are not responsible for the consequences that occur due to the lack of a bill. Therefore, all haji are requested to bring exchanged money with a bill receipt.

45. The rules, regulations, and offers mentioned above are applicable only to the Haj passengers. All rules and regulations announced then and thereafter should be followed by both the governments of India and Saudi Arabia.

46. Follow all the rules and regulations of both the governments of India and Saudi Arabia. Our company will not be responsible for carrying illegal or prohibited items.

47. At the time of departure from K.S.A. (Jeddah/Madinah Airport), haji must reach the airport 12 to 24 hours before our flight timing and should wait at the airport until our flight departs.

48. We shall not provide a subsidy for any Haj packages at any cost, as it is a private organisation. In our concern for green package rates, we follow government instructions.

49. It is mandatory to attend all the bayans held during the entire haj session, as all information about haj will be instructed day by day only in the bayan section. Our group will be accompanied by a highly qualified and well-experienced aalim (bayans are conducted only in Tamil). If a Haji has any doubts in Shariyath, please don't make any decisions by yourselves; rather, discuss with the respective experienced aalim for better knowledge.

50. All the haji's should coordinate with our organisation's ameers, and the haji's group must not select their own third ameer among themselves and misguide. Our management's decision will be the final decision on all the arrangements during the entire journey.

51. It is mandatory that all pilgrims compulsorily attend the Haj orientation programme/training camp, which will be conducted by our company. Inshallah, we will return the passport, visa, air tickets, and other documents of all haji’s in the Haj orientation training programme before departure only.

52. It is compulsory that the applicant and nominee sign in three places on the application form. The nominee should be a major and must be their own heir.

53. The applicant and nominee should once again go through the selected package details (Haj pilgrimage's attention, child policy, package inclusions, package exclusions, provisions for Haj and Haj schedule details, and payment/cancellation policy, as well as other conditions on the website/mobile app of each selected package) before booking and ensure that everyone adheres to those points. It is mandatory to sign after completely reading all the points given above. If not, our management will not be responsible for any later issues that arise from not adhering to our conditions.
